Many hotels buy an RMS for its forecasting, then discover the PMS integration is one-way and the revenue team is still copying rates by hand. This scorecard is for revenue managers, general managers, and owners of independent hotels and small groups comparing RMS vendors.
Score each vendor 1–5 per line, apply the weights, and compare. Agree the weights with your revenue and operations leads first.
Before you start
- [ ] Gather 24 months of history: occupancy, ADR, RevPAR, pickup curves, and segment mix
- [ ] List your current stack: PMS, CRS, channel manager, booking engine, rate shopper, POS
- [ ] Define who will own pricing decisions day to day, and how much automation you are comfortable with
- [ ] Note your pricing complexity: room types, rate plans, packages, groups, long stays, events

What to check under each criterion
1. Forecasting
- [ ] Forecasts by day, room type, and segment, not only total occupancy
- [ ] Uses unconstrained demand (including denials and regrets), not just past bookings
- [ ] Picks up events, holidays, and local demand signals automatically
- [ ] Reports its own forecast accuracy (for example, MAPE) so you can track it
2. Pricing and controls
- [ ] Recommends rates per room type, rate plan, and channel
- [ ] Supports restrictions: minimum and maximum length of stay, closed to arrival/departure
- [ ] Lets you choose between auto-publish and approve-before-publish, per property or date range
- [ ] Explains why a rate changed, in plain language your GM can understand
- [ ] Allows overrides that are logged and fed back into the model
- [ ] Uses competitor rate data without blindly matching the comp set
3. Integration
- [ ] Two-way, real-time connection with your specific PMS version (ask for a live reference on the same PMS)
- [ ] Rate push to channel manager and CRS without manual steps
- [ ] Update frequency: how often it re-optimises and pushes rates
- [ ] Error alerts when a rate push fails or a channel rejects a rate
- [ ] Clean data mapping for room types and rate codes during onboarding
4. Usability
- [ ] Revenue team can complete a daily review in under 30 minutes
- [ ] Mobile access for GMs and owners
- [ ] Training included, in your team's working language
5. Group and total revenue
- [ ] Group displacement analysis: should you accept this block at this rate?
- [ ] Includes F&B, spa, and other outlets if total revenue management matters to you
- [ ] Handles multi-property portfolios with a portfolio-level view
6. Reporting
- [ ] Standard KPIs: RevPAR, ADR, occupancy, pickup, pace vs. last year
- [ ] Profit-based metrics such as GOPPAR if you track them
- [ ] Data export or API access to your own BI tools
7. Implementation and commercials
- [ ] Realistic onboarding timeline with a named implementation lead
- [ ] Pricing model clarity: per room, per property, or percentage of revenue
- [ ] Contract length, exit terms, and your right to export your data and history
Red flags
- "Integrates with your PMS" turns out to mean a nightly file upload
- No way to see why a rate was recommended
- Vendor refuses a paid pilot or a trial on your own data
- Pricing tied to revenue uplift with no agreed baseline

Send the criteria as written questions first, then run a demo using your own recent dates, including one compression night and one soft night. Score independently with the revenue manager, GM, and finance, then average. If no vendor fits your stack, weigh a build vs. buy decision before settling.
